Libraries Technical Services Policies and Procedures Treatment of CD-ROMs as Accompanying Material to Serials |
CD-ROMs received as supplemental (or duplicative) material to serials will be routed to the Reference Office. The disk will remain in the Reference area, where it will be available for checkout (but only if the related serial hard copy circulates).
A separate O/P/R with specific spine info., retention, and routing information will be created, if additional and continuing CD-ROM receipt is probable for same title. If a pattern of subsequent disk receipt is not announced by a publisher or vendor statement (nor otherwise apparent), serials check-in staff will consult with Senior Serials Cataloging LTA to determine pattern of additional receipt.
Printed material will be routed to the stacks with a label affixed to the end papers of the related issue (or corresponding volume), as appropriate. The label will read ACCOMPANYING CD-ROM LOCATED IN REFERENCE OFFICE.
If necessary, the disk will be placed in a protective plastic jewel box by Technical Services staff, who will also label the plastic box with the call no. of the printed material. The designation Suppl. will be added to the call no., unless the CD-ROM duplicates (rather than supplements) the print copy.
Non-circulating CD-ROMS will be labeled with REF or PER prefix; circulating serials will be labeled without REF or PER prefix but require: SHELVE IN REFERENCE OFFICE label above call no.
An insert will be prepared by the Processing unit, if one is not supplied upon receipt. Processing will include property stamping front and back cover of all booklets and/or inserts. Processing for circulating titles (i.e. non-ref, non-per) will also include security targets and book pockets. If CD- ROM is received in a flimsy cardboard sleeve, the sleeve will be trimmed and used as an insert to a jewel box.
The shelf list card for a cataloged serial will be marked by the cataloging LTA in charge of serials quality control; the CD-ROM and printed material will then be shelf listed in NOTIS by the same LTA.
CD-ROMs will be counted in a separate statistical category of Collection Organization's Processing statistics.
The CD-ROMs, unless processed as "REF" or "PER", will be available for Inter-library Loan, and will be loaned with accompanying printed material. All campus Libraries will follow the same guidelines in dealing with CD-ROMs.
At the time that the collection of serial CD-ROMs reaches 100 the above policies should be re- evaluated.
