Libraries Technical Services Department Policies and Procedures Treatment of Software as Accompanying Material |
Diskettes received as supplemental material to monographs and
serials will be routed to the Circulation Desk where a backup disk
will be made. The original disk will remain in the Circulation
Area and will not be available for checkout. The backup disk will
be checked out for the time period allowed for printed material.
The diskettes will be placed in a locked storage tray, and in most
cases will be marked with the call number of the printed material
and the designation "Suppl." The call number will be written on
the envelope, not on the label surface of the diskette.
Printed material will be routed to the stacks with a label
affixed to the book pocket, or to the end papers as appropriate.
The label will read ACCOMPANYING DISKETTE LOCATED AT CIRCULATION
DESK. Circulation will affix a label on the disk explaining the
libraries' policy on loss or damage.
Diskettes accompanying non-circulating material (such as REF,
PER) will be treated as circulating copies of the main publication
in NOTIS with user messages: ACCOMPANYING DISKETTE LOCATED AT
CIRCULATION DESK; OR, will have separate bibliographic records in
NOTIS that will allow them to circulate.
A volume holdings record (MHLD) will be created in NOTIS to reflect all
physical pieces held; e.g.,
Diskettes will be counted in a separate statistical category
of Collection Organization's Processing statistics.
The diskettes will be available for Inter-Library Loan, and
will be loaned with accompanying printed material. All campus
libraries will follow the same guidelines in dealing with software
diskettes.
At the time that the collection of diskettes begins to
approach the 100 mark, the above policies should be re-evaluated.
