Libraries Technical Services Department Policies and Procedures Treatment of Folded Plates/Maps/Charts as Accompanying Material to Monographs |
Loose (unattached), folded plates, maps and charts, which serve as
supplemental material, but do not warrant independent cataloging or
separate physical processing will be handled as follows:
At the time of cataloging, all physical pieces will be individually
inscribed in pencil with base call no. only (in the upper left corner of
the front surface of the folded item) by the cataloging LTA. The
inscription will serve primarily as identification to help reconcile the
supplementary material with the main volume, if separated. The designation
"Suppl." will not be used, as the "Suppl." caption is warranted only for
standalone or separately bound items.
The LTA will prepare a blue slip with the appropriate instructional note:
An appropriate contents label will be affixed to the envelope:
Plates or maps which will be shelved independently from the main volume
(e.g. a collection of folded maps to be pam bound, shelf listed and labeled
separately as a Suppl.), do require more traditional and detailed permanent
inscriptions in indelible ink with the designation "Suppl."
Consult the Processing unit supervisor for specific recommendations in
handling unusual, non-routine or unfamiliar situations.

Affix label: POCKET CONTAINS (1) FOLDED MAP [plate, chart, etc.]
Subsequent to the cataloging process, each physical piece will also be
property stamped on the folded, front surface, and then placed in a pocket
or envelope, inside the back cover of the main volume for safe, permanent
retention.

While the accompanying material will generally be mentioned in the
bibliographic description, the plates, etc. will not be shelflisted in
NOTIS, and separate cataloging and processing statistics for the
supplementary material will not be reported.
