Deriving Bibliographic Records for Firm Orders


Select a manageable quantity of order request forms from the TO BE DERIVED box on the work table in the Cataloging area.

Search the NOTIS ‘LTRF' database for matching, full-level bibliographic records to derive. As a quality measure, select records input by Florida State University (FS) and University of Florida (UF), whenever possible. Do not select records of poor quality, particularly provisional order records. Note that many UF records lack OCLC #'s.

Be watchful for Florida Atlantic University (FA) records to be present in LTRF, as that would indicate the same title is already held, or on order at FAU; and a derived record should not be created. Skip to the final (2) paragraphs of this procedure for specific handling instructions in such situations.

After locating an appropriate bibliographic record in LTRF, "close" the record by hitting enter. Mark the record for placement in the FAU database by typing ‘ltfa' over ‘LTRF'. Hit enter which copies the LTRF record to LTFA.

Hit [F6] to access the first bibliographic screen. Then to convert or ‘derive' this temporary record into a permanent, although initially provisional FAU record, type LTFA deri over LTFA MORE. Hit enter until LTFA HLDG AAA#### appears. Record the new (system-supplied) NOTIS control no. in the [P.O. no.] box at the top of the order form.

Place order forms of all successfully derived records in the TO BE CROD box on the work table in the Cataloging area for the next phase of the ordering process.

In situations where a matching full level bibliographic record cannot be found in NOTIS LTRF, the order forms should be rubber-banded or clipped together, after marking NOTIS-0 at the top of each ORF. Place these order forms in the NOTIS - 0 box on the work table, excepting video orders, which should be forwarded to the Monographic Acquisitions librarian.

If FAU has already received a copy of the material, or has the title ‘on order', mark the order form, accordingly (eg. held at PST; on order for NPB). If the title has already been cataloged, record the call no. in the designated box on the order form; record the NOTIS control no. in the [P.O. no.] box at the top of the order form; and mark the ORF ‘added copy', if applicable. [Added volumes should be handled in the same manner.] Place these order forms in the TO BE CROD box on the work table, unless placing the order would result in a duplicate order (i.e. another copy for the same campus location).

Duplicate orders, if not identified as added copy (same location) or replacement copy, should be routed to the Monographic Acquisitions librarian with a note and/or documentation of the duplication.
