Reference Relocation Procedures


  1. To relocate Reference materials into the general library collection with non-circulating status:
    1. Public Services staff shall mark each volume with yellow tape to indicate general collection shelving status for the reference volume. The tape shall be placed directly above the reference spine label and shall serve as an alert (or reminder) to the shelver.

      Reference designation on the call number spine label shall be retained; therefore FOR BUILDING USE ONLY stamping is not necessary. The REF label alerts checkout staff to the continued non-circulating status of the item.

    2. The volume shall be delivered to Circulation for shelving.

    3. Reference shall notify Cataloging of the relocation via departmental request form. At that time, a user message shall be added to the NOTIS Copy Holdings record (um=Shelved in general library collection). This opac note benefits patrons in locating the item in its new location.

    4. Statistical record keeping of the relocation is not necessary.

  2. To relocate Reference materials into the general library collection and permit circulation:

    1. Public Services staff shall mark each volume with white tape to indicate circulating collection shelving status for the former reference volume. The tape shall be placed atop the REF portion of the call number spine label.

    2. Public Services staff shall stamp each volume inside back cover near call no. inscription with message: THIS ITEM MAY CIRCULATE. Such stamping alerts checkout staff to the circulating status of the item.

    3. The volume shall be delivered to Circulation for shelving.

    4. Reference shall notify Cataloging of the relocation via departmental request form. At that time, a user message shall be added to the NOTIS Copy Holdings record (um=Shelved in circulating library collection). This opac note benefits patrons in locating the item in its new location.

    5. Upon return of the book to the library (following checkout), the item shall be forwarded to Technical Services by circulation staff for physical reprocessing and additional NOTIS updating.

    6. The physical reprocessing shall include relabeling, book pocketing and hard linking.

    7. The NOTIS Copy Holdings record shall be updated to change the corresponding copy statement from main,ref to main.

    8. Statistical record keeping of the permanent relocation shall be reported (eg. 1 title/1 vol. relocated Ref to Circ).
